Steps
Confirm the business is on Vagaro's computer/tablet/Pay Desk/PayPro version, actively uses Vagaro Credit Card Processing, and is not on a free trial — these are hard prerequisites for API/webhook access.
Submit Vagaro's API/webhook access request form; approval is manual and can take up to seven business days.
Once approved, go to Settings > Developers > APIs & Webhooks in Vagaro and create a webhook with a name, an HTTPS endpoint URL, one or more event types (Appointments, Customers, Transactions, Employees, Form Responses, Business Locations), and target location(s).
Note the Verification Token shown in the webhook's details and use it to confirm inbound requests genuinely originate from Vagaro.
Ensure your endpoint returns a 2xx response within 20 seconds — Vagaro retries failed deliveries up to five times over 15 minutes with exponential backoff.
Known gotchas
The base feature costs $10/month including 5,000 webhook/API calls, with additional calls billed at $0.002 each — budget for overage if event volume is high.
Per Vagaro's own support forum, the current public API is notification/read-oriented; as of this session there is no documented way to create or update appointments via the API, only to be notified about them via webhooks.
