Steps
Share or embed your Toast Catering & Events lead form to capture prospective guest and event details
From Catering & Events > Orders, convert an incoming lead into a draft catering order and re-enter event details, since lead responses don't auto-populate the order
Add menu items, dining option, discounts, and service charges to the order, then generate and send an estimate for the guest to approve (optionally requiring an e-signature)
Once the estimate is confirmed, select Create invoice and add a deposit request with an amount and due date
Send the deposit invoice; the guest pays by card from the emailed link, or record a manual payment for check/other methods
Known gotchas
Toast Catering & Events invoices are separate from Toast Invoicing (Payments > Customer invoices) - use the Catering & Events Orders flow for event invoices, not the general invoicing product
Deposit invoices cannot be scheduled to send automatically; only automated follow-up reminders after a missed due date can be configured
If 'Send scheduled orders to the kitchen when created' is enabled, a catering order can fire to the kitchen immediately at creation and lock its date, requiring a POS-side reschedule instead of a BEO edit
