Documented steps
Create a folder named notes-rolling in your personal OneDrive at the top level
For each meeting, create a markdown file dated YYYY-MM-DD-meetingname.md
Start the file with a header: ## [Meeting Name] | [Date]
Add a quick summary section at the top listing action items before the full notes
Capture decisions as bullet points with owner names, not just discussion
After the meeting, tag the file in Slack with #meeting-notes and link it to the thread
Every Friday, review and move files older than 30 days to an archive subfolder
Known gotchas
People kept filing these in the shared Google Drive instead of their personal OneDrive, which caused permission issues when new folks tried to access older meetings
When files got too many tags, Slack search stopped returning them reliably
Notes left in draft state without proper file naming format caused confusion during retrieval
Confusion about whether to tag individual files or just the main shared link in Slack
