Steps
Create a quote in the Pool Brain app or web UI with line items, photos, and per-item labels
Email or otherwise send the quote to the customer; customers can approve or deny it with a tap
Turn on Notify office when customer approves quote (and the deny equivalent) under Quotes settings, listing the email addresses that receive alerts
Once the customer approves, Pool Brain automatically converts the quote into a job and auto-assigns the sales-commission technician (a permissioned user can change this)
Optionally require staff to enter notes whenever they manually change a quote's status (Approved/Denied/Open/Closed)
Known gotchas
Office-staff-approved quotes do not trigger the customer-approval email notification - that only fires for customer self-service approvals
Default notes configured under Quotes settings are appended to every new quote automatically; per-quote notes can still be edited afterward
The auto-assigned commission technician is a default, not a lock - permissioned users can reassign after conversion
