Ensure your POS (e.g., Toast, Square, Brink) is connected via Checkmate's Direct Sync feature in the Checkmate Portal.
In your POS, mark an item as sold out or unavailable using the native POS sold-out workflow.
Checkmate polls the connected POS for sold-out items on a roughly five-minute cycle; confirmed sold-out items are immediately pushed to all connected ordering platform menus.
Verify propagation by checking the ordering platform dashboards (DoorDash, Uber Eats, Grubhub) to confirm the item shows as unavailable.
When the item becomes available again, un-86 it in the POS; Checkmate will detect the change on the next poll and restore availability on all channels.
Use the Checkmate Portal's Sync with POS action for an on-demand push if you cannot wait for the automatic poll cycle.
Known gotchas
The automatic sold-out poll runs approximately every five minutes — there is a window during which an item may still appear available on ordering platforms; communicate this lag to operations staff.
Direct Sync requires that all menu changes (prices, modifiers, photos) be made in the POS, not in the ordering platform portals directly — platform-side manual edits will be overwritten on the next sync.
Not every POS field maps cleanly to every ordering platform's menu schema; review Checkmate's field-mapping documentation for your specific POS to understand what is and is not synced automatically.
