Steps
Configure IVANS eDocs and Messages credentials for the agency management system (AMS) to connect to the IVANS network
Poll the IVANS mailbox for available download transactions using the AMS IVANS integration or a direct IVANS API connection
Receive AL3 or ACORD XML download transactions (new business, endorsements, renewals, cancellations) from the carrier
Parse the AL3 segment structure or ACORD XML payload and map fields to the AMS policy record
Apply the transaction type to the correct policy lifecycle action in the AMS (add, change, or cancel)
Log any unmatched or errored transactions for manual review and send required acknowledgments back to the carrier via IVANS
Known gotchas
AL3 is a fixed-format legacy standard with segment identifiers and positional fields — even minor field length or delimiter errors cause parse failures; validate against the published ACORD AL3 spec for the specific line of business
Not all carriers send all transaction types via IVANS Download; gaps (such as cancellations not being sent) must be handled with manual reconciliation processes
IVANS mailbox polling frequency and retention windows vary by carrier agreement — transactions left unacknowledged beyond the retention window may be purged
