Steps
In the Encircle web or mobile app, open the claim for the affected property.
Generate a Use Link request and choose to request photos and/or videos from the policyholder.
Send the Use Link to the policyholder via the built-in delivery method (e.g., text or email) so they can capture and upload documentation directly to the claim from their own device.
Guide the policyholder on what to photograph so the claim documentation is complete, using Encircle's own guidance materials if available.
Review the incoming photos/videos in the claim once the policyholder submits them, and confirm they attached to the correct claim record.
Known gotchas
Policyholder-submitted media quality and coverage varies — review submissions promptly so gaps can be closed with a follow-up request before adjuster review.
Use Link submissions land directly in the claim tied to the original request; sending a new Use Link for a different claim requires generating a fresh link rather than reusing one.
Confirm the policyholder actually received the link (spam filtering on emailed links is a common failure point) before assuming documentation is complete.
