Steps
Retrieve the employee's current PTO policy assignment and accrual balance via the Rippling time-off or PTO endpoint, including available hours, accrued hours, and any pending requests.
Read accrual policy configuration to confirm accrual rate (hours per pay period or per hour worked), accrual frequency, and any cap or carryover limits.
If processing a PTO payout on termination (required in some states), retrieve the final accrued balance and create a payroll earnings line for the payout amount at the employee's regular rate of pay.
Submit time-off requests or manual balance adjustments via the Rippling API with the appropriate date, hours, and reason code.
Confirm the balance update is reflected and will carry into the next payroll for deduction of unpaid leave if applicable.
Known gotchas
Several states (California, Colorado, others) treat accrued PTO as earned wages that must be paid out at termination — failing to pay accrued PTO at termination is a wage theft violation in those states.
