Steps
In Bob's admin settings, create a new API Service User (distinct from a real employee account)
Create a dedicated Permission Group containing only the permissions the integration needs
Add the service user to that permission group
Retrieve the service user's ID and token, combine as id:token, and Base64-encode the string
Send the encoded string as an HTTP Basic Authorization header on each API request
Known gotchas
Service users have zero permissions by default until explicitly added to a permission group — an empty-looking response often just means missing grants, not an API bug
The legacy API Access Token method stopped working after October 31, 2024 — all integrations must use Service Users now
